PRIVACY POLICY

How Canopy handles your information.

This Privacy Policy explains how Canopy Quote ("Canopy", "we", "us") handles personal information when you use the Canopy Quote mobile app, website and related support services. Canopy is designed for trade and service businesses to capture site information, organise jobs and prepare business documents.

1. Information you provide

Depending on how you use Canopy, information you provide may include:

You are responsible for having an appropriate basis to enter or upload information about your customers, workers or other people into Canopy.

2. Information generated when you use Canopy

Canopy may generate or store technical information needed to operate the service, such as app version, device platform, authentication/session information, sync state, error information and timestamps. When you choose to send support diagnostics, the app is designed not to include customer names, quote text, dictated notes, photos or payment information in those diagnostics.

3. AI-assisted features

Some Pro features can use AI to help organise information or prepare draft material. When you deliberately use an AI-assisted feature, relevant content may be sent to service providers that process the request on Canopy's behalf. This can include job notes, dictated content, images or other information necessary for the feature you selected.

AI output can be incomplete or wrong. Canopy is designed so you can review and edit prepared material. You remain responsible for checking scope, pricing, safety information, any RAMS or other safety documents required for the job, and customer-facing documents before relying on or sharing them.

4. Why we use information

We use information to:

5. Service providers and sharing

We use specialist service providers to operate Canopy, including cloud hosting/database services, authentication, file storage, subscription management, app-store billing, email/support delivery and AI processing. They process information only as needed to provide those services to Canopy, subject to their applicable terms and data-protection obligations.

Mobile subscription purchases are processed by Apple App Store or Google Play and our subscription-management provider. Canopy does not receive your full payment-card details from those stores.

We do not sell your customer or job data. We may disclose information where required by law, to protect legal rights or security, or as part of a genuine business reorganisation subject to appropriate safeguards.

6. Storage, security and international processing

Canopy uses cloud services to provide account sync and related features. Service providers may process information in countries other than the one where you live. Where data-protection law requires safeguards for an international transfer, we expect the relevant provider arrangements to supply them.

No online service can guarantee absolute security. Canopy uses technical and organisational controls intended to protect account data, and access to account-scoped records is designed to be restricted to the authenticated account.

7. How long we keep information

We keep account and job information while your account remains active and for as long as reasonably necessary to provide the service, resolve support/security issues, meet legal obligations or establish and defend legal claims. Some records may be retained for a limited period in backups or logs before normal deletion cycles remove them.

8. Your controls and rights

You can view and edit much of your information in the app. Canopy also provides export and account-deletion controls. Signed-in users can request permanent deletion from Settings → Account and plan → Delete account. If you no longer have access to the app, you can also request account deletion from the web.

Depending on the law that applies to you, you may also have rights to request access, correction, deletion, restriction, portability or objection, and to complain to your data-protection regulator. Use Settings → Canopy Support for privacy or account requests. We may need to verify that the request relates to your account.

9. Account deletion and subscriptions

Account deletion is intended to remove your Canopy account and account-owned cloud data, including stored job photos, branding assets and the linked subscription-service customer profile. Some information may remain where retention is required by law or in time-limited backups.

Deleting a Canopy account does not automatically cancel an App Store or Google Play subscription. If a subscription is set to renew, cancel renewal through the relevant store/subscription-management flow before deleting the account.

10. Your customers' information

If you use Canopy to store information about your own customers, workers or site contacts, your business may be the controller of that information and Canopy may act as a service provider/processor for parts of that processing. You remain responsible for your own notices, permissions, retention decisions and legal obligations to those people.

11. Changes to this policy

We may update this policy when Canopy, our providers or legal requirements change. We will update the date above and, where appropriate, provide additional notice in the app or service.

12. Contact

For privacy questions or requests, signed-in users should use Settings → Canopy Support. General support guidance is also available on the Canopy Support page.

Release note: This policy reflects the current Canopy launch implementation. It should receive final legal/operator-details review before public store submission.
